Please read the following procedures and guidelines:
For inquiries regarding usage of the FIRST 5 Community Room, please call the reception desk at FIRST 5 Santa Clara County, (408) 260-3700 and speak to the Receptionist who will check on availability of the room and mail out Contract package to you, if available.
Fill out the Community Room Policies, Guidelines and Contract for the date(s) and time(s) you are requesting. It is recommended that all forms should be submitted at least 3 weeks in advance of the desired event date, but no more than 2 months before the event.
- Fill out the Contract completely. Please be sure to include the contact’s name and contact information on the form.
- Submit the Contract to:

- Any and all applicable fees are due to FIRST 5 Santa Clara County prior to the event taking place. Please make checks payable to FIRST 5 Santa Clara County, and send to the address listed above.
- FIRST 5 will review each facility use request on a case-by-case basis for approval and to determine appropriate fees. Once the Executive Assistant approves the Contract, the Administrative Assistant will send a copy back to the contact person indicating the fees to be paid or any additional information, if applicable.
- A refundable Security deposit of $150 will be collected prior to the event. Facility fees are $25.00 per hour with a minimum of two hours, and will be waived for partnering agencies. A Cleaning fee of $40.00 may apply if the room is not left in its original condition (including furniture layout), and will be deducted from the Security deposit.
- For events after normal business hours, a FIRST 5 staff person must be present throughout the entire event. Saturday events require an additional fee for security. No Sunday events will be scheduled.
- Groups should reserve enough time to perform their own set-up and clean-up functions.
- Groups may bring in catered food for their events. Kitchen facilities are not available.
- Groups are welcome to bring in their own equipment to use at their event in the facility. FIRST 5 has limited equipment for guest use.
- Every group or organization applying for use of the Community Room must submit a Certificate of Liability Insurance listing FIRST 5 Santa Clara County as Additional Insured. This must be submitted prior to gaining access to the facility.
